Dear Sir,

Further this has reference to the pre bid meeting for the subject work held on 23/05/2008 at 11:00 hrs at HSCC corporate office, Noida The following AMMENDMENTS-1/CLARIFICATIONS-1 based on the quarry asked by the bidders and its clarifications shall be treated as a part of the tender/contract to be submitted duly signed & stamp along with tender are here under :

As we do not find any escalation clause exists in the contract, and, in view of the period of job meets two financial budget of the state Govt. & Central Govt. , we would like to request you to incorporate the escalation clause as per R.B.I norms to avoid unnecessary loading in the tender. In addition provision for price variation may kindly be made in the tender document.

Taxes and duties shall be paid by the contractor which is enforced on the date of tender. But the cost of taxes, levies, duties etc. which will be endorsed by state & Union govt. after the due date of dropping of tender will be borne by the tendering authority.

Orientation and sketch of site office one layout plan may please be issued along with detail of stationeries requirement. No. of officials for their seating arrangement along with the details of conference room may also be given. The detailed of the following information's may be please be included, so that no controversies may arise in course of execution of work :

 

a)  Nos. of Compact Disc per month.

b)  Nos. of Pen drive per month.

c) List of stationeries with quantity per month.

d)  Number & size of lockable storage.

e)  List of quantity of furniture required.

Mix design to be carried out from an institute situated in the same City or Town where the job being carried out or nearest Metro City under approval of HSCC, when all the samples of ingredients and/ or components materials should be collected jointly by the HSCC and contractor's representative and they should sign on all the relevant document of sealing of the container.

Testing of materials to be carried out at site from an institute of local area under approval of HSCC and the collection to be done under joint signature of HSCC representative & the representative of the contractor.

For preparing shop drawing soft copy of architectural drawing and design details to be made available to the successful bidder in the event of preparation and sending of the same through e-mail directly.

Whether photograph to be sent along with a new pen drive every month or they shall be return in alternative month for new inclusion (If separate pen drive are used in every month then the cost of loading of tender will increase which is to be confirmed in the tender provision).

Reference Vendors: We propose to use materials from the local producers, if they are available in accordance with the specification under approval of HSCC & if they are IS standard.

Cement: It is experienced that OPC 43 grade cement to IS : 8112 are not readily available hence Port Land Slag Cement (IS 455) or cement conforming to IS : 455 produced by local companies may be proposed to be used in the job under approval of HSCC. A detailed vender list producing cement may be given in the tender document.

Reinforcement: Reinforcement Steel of any manufacturer producing steel as per IS 1786 may be used under approval of HSCC. Vender list of companies of Orissa for such steel reinforcement may be given with the tender document.

Brass Check Value and Gate Value / Ball Value are not available in the market. Hence such item of gunmetal may be introduced. In such absence vender list for the item of value may please be endorsed in the tender document.

Envelope-I: Shall contain requisite amount of bid security with its validity and Prequalification document    (VOL-I) along with all information required as asked in PQ document duly filled stamped & signed by the bidders on each page.

Envelope-II: Shall contain VOL-II, VOL-III, VOL-IV & VOL-VI and any amendments issued till the date of submission duly filled,  stamped & signed by the bidders on each page.

Envelope-III: Shall contain only VOL-V i.e Priced Bill of quantities duly filled stamped & signed by the bidders on each page.

Envelope :2 : Shall be opened of the bidders who are prequalified at a subsequent date to be intimated in advance to such eligible bidders
